Position SummaryReportingly directly to EVP and VP of Legal Affairs, this role supports the day-to-day legal function of Corporate Strategy and Legal & Business Affairs teams. The role requires a thoughtful and proactive professional with experience working in a fast-paced live events and/or media environment and experience with commercial contracts. Experience as an administrative assistant to a C-level executive or general counsel highly desired.
Job Responsibilities

  • Manage all contracts submitted to the legal department, including intake, tracking, execution, and filing.
  • Maintain and improve upon existing processes and procedures for ensuring efficient, top-quality deal output.
  • Maintain and improve the existing process for requesting deals and serve as a quality-control gatekeeper for all contract requests for such deals.
  • Maintain a file of all applicable contract terms summaries, and ensure that Legal & Business Affairs updates such summaries when necessary.
  • Create and maintain a comprehensive list of all deal expirations and termination opportunities.
  • Create and maintain a comprehensive spreadsheet of substantive sections in deal documents.
  • Manage internal team recordkeeping and organization, as well as requests for information from other departments.
  • Create and maintain consistently named and organized deal files and database (including final, fully executed copies of all contracts, final draft Word versions of the executed documents, and all related correspondence).
  • Manage projects, data and document retention protocols and reporting to provide status update to organization.
  • Assist in vendor procurement process, visa petition applications, and concert venue rental agreements.
  • Perform risk management duties and responsibilities, including managing process of securing COIs, reviewing coverage limits, as well as properly filing them.
  • Assist with booking meetings, managing schedules, travel and expense reporting.
  • Assist executives with taking notes and providing summaries of calls with third parties to ensure next steps are followed.
  • Managing the executives calendar, including making appointments and prioritizing the most sensitive matters.
  • Perform other related duties as assigned
    Minimum Qualifications The following are the minimum job-related qualifications which an individual needs in order to successfully perform the essential duties and responsibilities of the job
    • Education Level:(Required) Bachelor's Degree or equivalent experience
    • 6-8 years of senior-level assistant experience; C-Level or Legal professional highly preferred. Paralegal certification a big plus.
    • Detail-oriented with the ability to independently prioritize work and handle multiple tasks with set deadlines as a top priority and possess excellent organizational and tracking skills.
    • Must have strong written and verbal communication skills.
    • A high level of integrity, discretion, and professionalism.
    • Able to complete a high volume of tasks and projects quickly with little guidance and react with appropriate urgency to situations and events that require a quick response or turnaround in an exciting and fast-paced media environment.
    • Field of Study/Area of Experience:
    • Relevant experience in a transactional or contracts-based legal practice, contracts management, or in-house legal experience preferred.
    • Any experience in an agency, concert or live event industry, risk management, vendor procurement or a corporate law firm a plus.
      Skills, Knowledge and Abilities
      • Previous exposure to legal matters specific to live events, marketing, or media a strong plus.
      • Demonstrated organization, facilitation, and communication skills.
      • Ability to collaborate across a cross-functional team in a fast-paced environment.
      • Experience managing high-stakes issues with senior executives in a professional, assertive, and proactive manner.
      • Strong organizational skills and ability to handle multiple, cross-functional projects
      • Self-motivated with strong organizational and time management skills with the ability to work independently and effectively set priorities and deliver on time.
      • Good interpersonal skills, along with the ability to collaborate across the entire organization while building relationships with clients and vendors.
      • Passionate individual willing to immerse him/herself in their work.
      • Superior communication skills: oral, written and listening.
      • Ability to work effectively with management.
      • Ability to complete multiple duties with accuracy shifting from one to another with frequent interruptions and competing deadlines.
      • Strong computer skills including proficiency with Microsoft Word, OneNote, Teams, Outlook, Excel, and Adobe Acrobat.by Jobble
