The Assistant Service Manager supports the Service Manager in
overseeing the day-to-day maintenance operations of a residential
property (or portfolio of properties). This role is crucial for
ensuring the physical condition of the property is maintained to
the highest standards, maximizing resident satisfaction, and
supporting the on-site service team. The Assistant Service Manager
acts as a leader, troubleshooter, and administrator for maintenance
activities. Key Responsibilities Team Leadership and Support Assist
the Service Manager in supervising, training, and scheduling the
on-site maintenance team (e.g., Service Technicians, Porters).
Provide guidance and hands-on support for complex maintenance
repairs, ensuring all work is completed efficiently, safely, and to
quality standards. Step in as the acting Service Manager in their
absence, managing emergency calls, vendor relations, and daily
operations. Foster a positive, team-oriented work environment
focused on achieving property maintenance goals. Maintenance
Operations and Coordination Manage and prioritize the completion of
service requests (work orders) in a timely manner, monitoring the
tracking system and ensuring accurate documentation of labor and
materials. Oversee the efficient and timely completion of
make-ready/turnover processes for vacant units, ensuring units are
prepared for new residents according to established schedules and
quality checklists. Conduct regular property inspections (e.g.,
grounds, common areas, mechanical rooms) to identify maintenance
needs, potential hazards, and opportunities for preventative
maintenance. Coordinate and oversee work performed by outside
vendors and contractors, ensuring quality control and adherence to
the scope of work. Administrative and Financial Support Assist the
Service Manager with managing the maintenance budget, monitoring
expenses, and accurately tracking inventory of parts, supplies, and
tools. Process and organize purchase orders, invoices, and expense
reports related to maintenance activities. Maintain accurate
records for preventative maintenance programs, equipment histories,
and safety compliance. Ensure all maintenance staff and operations
adhere to company policies, local, state, and federal regulations,
including OSHA and Fair Housing guidelines. Technical Expertise and
Quality Assurance Perform and oversee advanced technical repairs,
including HVAC troubleshooting and repair, plumbing (e.g., water
heater, sewer line issues), electrical (e.g., circuit diagnostics,
fixture replacement), and structural repairs. Implement and
champion the property's preventative maintenance plan to extend the
life of equipment and minimize future repair costs. Respond
promptly to emergency maintenance calls outside of regular business
hours on a rotating basis. Requirements: Qualifications Required
Experience and Skills Minimum of 3–5 years of experience in
property maintenance, residential facility management, or a related
trade, with at least 1 year in a supervisory or lead role. Proven
expertise in residential maintenance areas: HVAC systems ( EPA
certification required ), electrical, plumbing, carpentry, and
appliance repair. Strong organizational and administrative skills,
including proficiency with maintenance software (e.g., Yardi,
RealPage, AppFolio) for work order tracking and reporting.
Excellent communication and interpersonal skills, with the ability
to lead a team and interact professionally with residents, staff,
and vendors. Valid driver's license and reliable transportation.
Preferred Qualifications Universal EPA certification. Certified
Apartment Maintenance Technician (CAMT) certification or equivalent
professional designation. High school diploma or GED required;
relevant technical/trade school completion preferred. Being
bilingual (English/Spanish) is a plus. Working Conditions The
Service Manager position requires frequent physical activity
including walking, standing, bending, and lifting (up to 50
pounds). Work is performed both indoors and outdoors, and may
occasionally occur in inclement weather. The role necessitates
being on call for emergency maintenance situations. Vidalta
